Format for a Microsoft Excel file to be an import source for MIE Software products

To import from Microsoft Excel to MIE Software name and address tables, the records you wish to import must be stored in Excel with one record per row, in exactly the following format.

Column 1 (A) Title (eg Ms, Professor, Dr) Maximum 25 characters
Column 2 (B) Given Name Maximum 25 characters
Column 3 (C) Family Name or Surname Maximum 30 characters
Column 4 (D) Job Title (eg General Manager, Director, etc.) Maximum 100 characters
Column 5 (E) Division (eg Operations, Faculty of Science, etc.) Maximum 100 characters
Column 6 (F) Organisation (eg Royal Hospital, Acme, etc.) Maximum 100 characters
Column 7 (G) Address Line 1 (eg Suite 4, Level 2, etc.) Maximum 50 characters
Column 8 (H) Address Line 2 (eg 20 Main St, 4 King Rd, etc.) Maximum 50 characters
Column 9 (I) Suburb, City, Town or Borough Maximum 50 characters
Column 10 (J) State or Province (to be able to look up Australian postcodes, use the standard Australia Post abbreviations ACT, NSW, NT, QLD, SA, TAS, VIC and WA) Maximum 20 characters
Column 11 (K) Country Maximum 25 characters
Column 12 (L) Postal Code Maximum 10 characters
Column 13 (M) Business Telephone Number Maximum 20 characters
Column 14 (N) Business Fax Number Maximum 20 characters
Column 15 (O) Home Telephone Number Maximum 20 characters
Column 16 (P) Home Fax Number Maximum 20 characters
Column 17 (Q) Mobile Telephone Number Maximum 20 characters
Column 18 (R) E-mail (Internet) Address Maximum 50 characters
Column 19 (S) Work or Home Address Flag
(0 or -1)
0 if this is the person’s home address (job title, division and organisation will not be included on address labels)

-1 if this is the person’s business address (everything is included on address labels)

Important Notes:

Ensure that at least one row in column 1 (Title) contains data, otherwise if all the rows in column 1 are blank, the import will not be successful as all the following columns will be moved to the left during the import process.

If the information in a particular column doesn’t apply to your data, leave the column blank, don’t omit the column.

The spreadsheet should not have more than the 19 columns specified above.

The spreadsheet (workbook) should only contain one worksheet.

The first row of the spreadsheet should not contain headings as the import process assumes that every row contains data to be imported, including the first row.

If importing to Summit Version 4.x, Summit Professional Version 5.x or Summit Light Version 6.x the Excel file must be between Excel 3.0 and Excel 5.0 inclusive.

If importing to MIE People, the Excel file must be between Excel 3.0 and Excel 97 inclusive.
